DocPlus® Contract Records enables record, record, retrieve and track information related to company contracts.
The application is a useful tool both for the economic department and especially for the company’s management and sales teams.
It integrates natively with other DocPlus® Basic modules and specific DocPlus® Enterprise applications. A good example is the integration with the Contact Agenda module for using the same centralised company database, with the CRM Projects and Opportunities application for extracting the data needed to create contract sheets, with the Invoicing module for issuing invoices.
The DocPlus Contracts Evidence application offers the possibility to track contract specific data – date of signature, term of execution, value, contract attachments and addenda, project team (if applicable), invoicing and payment dates, related expenses, as well as contract profitability tracking.
Information needed to run and follow up contracts is readily available by accessing contract sheets or specific reports. Some specific configurations allow the automatic sending of reminders from the application on payment deadlines or invoicing deadlines, execution deadlines or other critical information for contract processing, which is useful for the departments involved.
Revenue and expenses for each contract are managed to provide a dashboard of profitability, with management always having the information needed to make decisions about each contract or how the project has performed financially.
Each authorised person involved in the exploitation of the information in the application can analyse the reports that are of interest from the point of view of the activity – those who coordinate a project, those who deal with suppliers, management or specialised departments to assess how the projects have been carried out or what the profitability of the project/contract is.
The time lost in retrieving contracts and the information needed to run the contracts is eliminated through immediate access by the people running the contracts to the information in the application.
An essential element of the contact module is the possibility of working off-line, which allows access to information from any location, which is particularly useful in negotiations or when the contract requires immediate consultation of certain aspects.
